Program Assistant, Emergency Support Services

Position Summary

 

This role is an exciting opportunity to support high-impact training delivered to Emergency Management British Columbia (EMBC) in the areas of Emergency Support Services (ESS), Search and Rescue (SAR), and emergency management. You will play a key part in preparing, organizing, and coordinating both online and in-person courses, ensuring a smooth and professional experience for students, instructors, and clients. From managing registrations and documentation to preparing course materials and coordinating travel, you’ll keep essential training programs running efficiently. You’ll also help maintain and format course content in MS Word and online platforms, working closely with a supportive team of Program Assistants, the Program Planner, and Coordinators/Instructional Designers. This position is well-suited to someone who enjoys a dynamic environment, excels at organization and customer service, and can confidently respond to a wide range of requests while maintaining accuracy and meeting deadlines.

In this role, you will handle a variety of responsibilities that keep our programs operating seamlessly. These include processing section requests and updates, maintaining accurate records in Colleague and e-Course systems, reviewing applications, registering students, managing program inboxes, and sending course communications. You will coordinate venue bookings, travel arrangements, shipping of course materials, and online course setup in Blackboard. Additional tasks include updating course content, administering student feedback surveys, tracking grades and statistics, supporting distance learning courses, and assisting with expense and invoice processing. You will also collaborate with colleagues across the division and provide backup support where needed, making you an essential contributor to the success of our training programs.

 

Qualifications & Requirements:

  • Secondary school graduation plus three (3) years related office experience;
  • Proficiency in the operation of word processing and spreadsheet software, including MS Office Suite (Word, Excel and Outlook);
  • Demonstrated proficiency in Colleague for routine section and student activities;
  • Knowledge of e-Course, Blackboard and Qualtrics are an asset;
  • Strong writing and verbal communication skills, including accurate spelling, grammar and proofreading abilities;
  • Proven ability to meet deadlines, manage priorities and maintain a high level of accuracy, while processing a high volume of work within an independent setting;
  • Ability to maintain a positive attitude with a focus on quality customer service;
  • Proven ability to establish and maintain effective working relationships with a variety of internal and external contacts in a team-based setting;
  • Physical ability to lift boxes (up to 25 lbs.) required.

What JIBC Offers:

We offer a total compensation package that includes Extended Health and Dental Benefits, and enrollment in the Municipal Pension Plan after six months. In addition, we offer 15 vacation days annually (pro-rated in first year), as well as other generous leave entitlements.

Salary Range: 

$50,534.82 (with wage increments to a max of $53,951.31). Salary and wage increments are in accordance with the Collective Agreement. (BCGEU Pay Grid 9) 

*Position is currently eligible for Service Improvement Allocation of $39.81 bi-weekly*

Work Arrangements:

This is a Regular, full-time (35 hours per week) position. Must be within a commutable distance to the JIBC's New Westminster Campus. This position may be considered for a hybrid work arrangement.
