Position Summary
The Justice & Public Safety Division (JPSD) is seeking a highly organized and detail-oriented Program Assistant, Driver Education. This position plays a crucial role in providing administrative support in a fast-paced and time-sensitive environment. The ideal candidate will have excellent multitasking abilities, strong communication skills, and a commitment to ensuring the smooth operation of all programming.
The Program Assistant's responsibilities are multifaceted and critical for the smooth operation of various programs, with a primary focus on supporting the Road Safety At Work (RSAW) program. RSAW is managed by the Justice Institute of British Columbia (JIBC) and funded by WorkSafeBC. The Program Assistant oversees all RSAW administrative functions, including managing substantial invoice processing, creating service agreements, and handling contracts. Other financial duties include purchasing and visa reconciliation, as well as reviewing documentation for insurance and indemnity requirements and securing necessary approvals.
A key aspect of the role is providing comprehensive support to the 11 RSAW team members and other stakeholders, addressing a wide range of inquiries and concerns to ensure smooth program delivery.
Additional responsibilities include organizing events, meetings, and RSAW conference attendance, ensuring all logistical details are meticulously handled. The role requires minute-taking, and the formatting of reports, proposals, and presentations. Effective communication is essential, as the Program Assistant will liaise with team members, external partners, and vendors, as well as respond to general inquiries via email and phone. Additionally, the assistant will collect data on online course completions and maintain program documentation using OneDrive. This position requires a high level of professionalism, attention to detail, and the ability to efficiently manage multiple tasks in a dynamic environment.
Qualifications & Requirements:
- Secondary school graduation, plus three (3) years office experience; or an acceptable equivalent combination of education, training and experience;
- Proficiency in the operation of Word, Excel, Outlook, Colleague and Blackboard;
- Excellent verbal and written communication skills;
- Excellent customer service and organizational skills;
- Must be open and adaptable to changing processes with an ability to be proactive and become part of solutions;
- Ability to establish work priorities, multi-task and meet deadlines while working with frequent interruptions;
- Strong spelling, grammar, and proof reading skills;
- Ability to carry out complex instructions accurately;
- Ability to establish and maintain effective working relationships with a variety of internal and external contacts in a team based setting is very important, including staff, students, and the public;
- Proven ability to work independently and meet deadlines;
- Ability to problem solve;
- Ability to remain calm under pressure and deal with sensitive information

What JIBC Offers:

$47,721.24 to $53,951.31 per annum (BCGEU Pay Grid 9) *Position is currently eligible for Service Improvement Allocation of $41.65 bi-weekly* |
